How do I handle operations?

Creating smooth operations isn’t about becoming a bureaucracy; it’s about building a solid foundation so your project can flourish. Even if it’s not your favorite part, tending to things like budgeting, accounting, legal paperwork, and tax preparation is a form of care—for your mission, your team, and your community. Every country has different requirements, so it’s worth seeking out local advice. Keep things simple, but don’t wing it. A clear budget helps you make grounded decisions. Basic accounting systems can save you hours (a simple spreadsheet works!). And staying on top of taxes and legal filings avoids unnecessary stress down the road.

Caleb Tenenbaum, co-founder of peer-led meditation group Community Village in San Francisco, has documented his community’s journey toward financial sustainability–allowing you to see what the budgets look like for one spiritual innovation collective.

Of course, no system will work forever, especially for small or growing projects. As your work evolves, your tools and processes will need to grow with you. That’s normal. Make time every few months to step back, notice what’s working (and what’s not), and adjust. Smooth operations are less about perfection and more about rhythm—clear roles, shared tools, and just enough structure to support your creativity. When the behind-the-scenes is steady, you get more energy to focus on what really matters: your people, your purpose, and the sacred work you’re here to do.
